The Marketing Operations Specialist is a hands-on operations role responsible for managing and optimizing the organization’s marketing technology stack, with a strong focus on HubSpot and CRM systems. This role balances strategy and execution: bringing forward recommendations for system efficiencies and campaign enhancements, aligning with leadership on direction, and then implementing the work. The manager ensures CRM data integrity, builds and maintains segmented lists, dashboards, and automated workflows, and provides the reporting and documentation needed to drive effective campaigns. The ideal candidate thrives on solving operational challenges, works comfortably across systems, and proactively identifies improvements to make marketing operations more efficient and impactful.
Core responsibilities:
- CRM Data Management: Monitor and maintain clean, accurate CRM data by updating records, enriching missing fields, merging duplicates, and managing opt-outs; manage the procurement of contact lists as needed to reach new segments.
- List Strategy & Execution: Develop, segment, and maintain campaign-ready marketing lists; identify and track “highly engaged” contacts; ensure lists are deduplicated, up to date, and tailored to campaign needs.
- Workflow Design & Automation: Recommend and implement automated workflows for email cadences, engagement-based triggers, and operational tasks; test and monitor workflows for accuracy and ongoing effectiveness.
- Reporting & Dashboards: Create, customize, and manage dashboards and reports that provide actionable insights; refresh reporting structures to meet new campaign or leadership requirements.
- Campaign Operations Support: Partner with leadership to anticipate upcoming campaign needs (lists, reporting, workflows), propose system-driven solutions, and execute those solutions once approved.
- Documentation & Knowledge Sharing: Write and maintain clear internal process documentation (e.g., checklists, campaign launch guides) and create external-facing resources (e.g., FAQs) that support marketing and campaign transparency.
- Vendor & System Oversight: Collaborate with external vendors and internal teams to ensure digital systems are updated and optimized; proactively recommend enhancements based on expertise in HubSpot, WordPress, and related tools.
- Web Support: Perform light website updates and system configurations in WordPress when needed to support campaign execution and documentation.
The role is for you if:
- You have 3+ years of hands-on experience with HubSpot, including CRM management, marketing automation, workflow design, and reporting/dashboard creation
- You bring a proven track record of maintaining CRM data integrity through regular hygiene practices including deduplication, data enrichment, field standardization, and contact record management
- You are able to demonstrate an ability to build and manage contact segmentation strategies and campaign-ready marketing lists
- You have experience designing, implementing, and optimizing automated email workflows and engagement-based triggers to support multi-touch campaign execution
- You thrive when you work independently while balancing strategic thinking with hands-on execution—proposing system improvements, gaining alignment, and implementing solutions
- You employ strong project management and organizational skills with the ability to manage multiple concurrent operational priorities with attention to detail
- This role requires the ability to work core hours aligned to the U.S. Eastern time zone.
Preferred Experience:
- Experience in K-12 education; edtech, curriculum, professional learning etc.
- Familiarity with WordPress or similar CMS platforms for campaign support.
- Background in marketing operations supporting multi-channel campaigns.
- Hands on experience with social media management like LinkedIn a plus
