About Step Up Tutoring:
Step Up Tutoring is a growing California-based, tech-enabled non-profit organization that drives student success in under-resourced communities by providing free virtual tutoring and mentorship to elementary school students. Our mission is to leverage leading software, AI and technology to scale effective and cost-effective relationship-based tutoring, so that it is accessible to grade school students in low income schools and communities. Step Up recruits, trains, and supports volunteer tutors including university students and adult tutors to deliver virtual, high impact tutoring for grade school students in school, afterschool and at home.
Step Up works with Los Angeles Unified School District and other districts, top universities (Stanford, USC, UCLA, ASU), and national education oriented foundations. Step Up partners with over 30 colleges and universities to provide paid work-based learning tutoring jobs for college students via Federal Work-Study and CA for All College Corps, and has served over 2,500 students to date. Building on this momentum, Step Up Tutoring is seeking an effective, strategic and experienced Vice President for Finance and Administration to continue scaling this fast growing, early stage organization with ambitious goals and mission driven vision.
The Role:
The Director or Vice President for Finance and Administration is a new position that will lead the development and oversight of all financial and administrative operations for Step Up Tutoring, including Finance (i.e., bookkeeping, payroll, accounting, tax, banking, budgeting, cash management, insurance, 990 tax reporting), Human Resources (policies, benefits, talent development), Information Technology, vendor/contract management, Legal, Board and other reporting and other internal operations for Step Up Tutoring.
The role will report to the CEO and be part of the senior leadership team. The candidate will work closely with the CEO, senior leadership team and a Finance and Operation Committee on the responsibilities listed above. Additionally, the candidate will manage a part time contract bookkeeper, supervise vendors, contractors and consultants, and manage relationships with Step Up Tutoring’s bank, accountant, audit firm, outside counsel, plus government and grantmaking payors. This role will oversee the development and scaling of innovative administrative systems to manage college student tutors via Federal Work-Study and other federal and state-funded scholarship programs, including scalable systems to manage partner reporting, timesheets/payroll, tutor oversight & support, and more.

Responsibilities:
Strategy and Leadership:
- Serve as a strategic thought partner to CEO, senior management and the board, aiding in policy formation and management
- Act as a liaison to the board and effectively communicate critical financial matters, supplementing the CEO’s role and leading the Board Finance and Operations Committee
- Spearhead key strategic initiatives related to improving the organization’s efficiency and operations, working with the executive team and cross-functional team leaders
Finance:
- Oversee all financial operations at Step Up Tutoring including budgeting, cash flow, policy matters, day-to-day banking operations, and vendor negotiations
- Monitor financial performance, analyze variances, identify trends, opportunities and risks, and interpret financial data to support decision-making by the executive team and Board
- Represent Step Up Tutoring externally, as necessary, and manage all external finance-related vendors such as banking, accounting contractors, insurance, SAMs registration, payroll and benefits providers, and others.
- Supervise the part-time, remote contracted Bookkeeper, handling tasks such as bill payments, managing Quickbooks Online, providing regular financial statements, tax reporting, payroll supervision, government notice responses, and ad hoc reports
- Liaise with Step Up’s contracted accounting firm for quarterly financial statements and tax reporting.
- Improve operational accounting services such as treasury management, grants payment processing, payroll, and accounts payable and purchasing
- Oversee implementation & maintenance of financial & administrative systems and software,, ensure adherence to expense policies, and ensure data integrity for financial data
Administration,Compliance, and Grant Management:
- Ensure compliance with relevant financial regulations, tax laws, and nonprofit reporting requirements including all applicable tax filings
- Support grant applications, oversee reporting processes to ensure compliance with donor requirements and regulations, and manage cash flow and expenses reporting against grant budgets
- Coordinate annual financial audits and maintain accurate financial records for audit purposes
- Uphold data and cybersecurity practices and systems
Human Resources and Talent Development
- Oversee human resources function, including recruitment, onboarding, performance management, and employee relations
- Oversee the development and implementation of tutor management administrative systems and processes, including time tracking & payroll support for Work-Study and other publicly-funded programs
- Oversee employee benefits policy development and implementation
Qualifications and Competencies:
- Experienced finance and accounting executive (CPA preferred) with a minimum of 5 years of finance experience in non-profit organizations (preferred), small/medium businesses, and/or public accounting; early stage company experience is also a plus.
- Experience working with nonprofits (or willingness to learn); experience with grantmakers, government contracting, foundation grants are a plus
- Strong, proactive business partner with excellent written and oral communication, stellar problem-solving and organizational skills with the high standards of integrity and references
- Experience managing a portfolio of finance, internal operations and administrative functions, including financial reporting, implementing new systems, HR, IT, contracts, compliance and related activities
- Experience in or knowledge of nonprofit accounting (or willingness to learn),
- Experience managing finance and accounting systems and software, and working with outside contractors on implementation
- Demonstrated leadership ability, team management, interpersonal skills, curiosity, mission driven for social impact, and good judgment
- Strong business partner for CEO and board who has successfully negotiated favorable terms with vendors, suppliers and others
- Bachelor’s Degree (or higher) from a reputable university required (high GPA preferred)
