Special Events Coordinator

Reporting to the Director of Advancement Operations, the Special Events Coordinator will be responsible for supporting in driving forward DREAM's fundraising and select internal events, coordinating with key stakeholders, partnering with the Special Events Manager on the strategy and execution for fundraising and community events, and supporting engagement. This person will also understand the integral role of fundraising events and campaigns, technology, and data management in supporting event goals.

This presents a unique opportunity for an adaptive problem solver with a project management mindset, strong logistics executor, and skilled relationship builder to develop connections and partnerships across teams within DREAM and externally with vendors as we evolve and grow our fundraising efforts as a whole.


  • Event Logistics and Communications
  • Supports the Special Events Team in all aspects of planning and execution of special events while tracking event key performance areas, identify items to work on for future events, monitoring evolving post-covid event guidelines, and collaborating to create sound event strategies for DREAM
  • Leads the management of attendee lists, staffing, support with vendor outreach, and contract coordination
  • Manage the strategy for in-kind solicitation for each event and supports with fulfillment of auction packages with donors
  • Lead the coordination with the Communications and Brand Team on all collateral for events, supports with creating the vision for decor & branding at all fundraising events, and processing of sponsorship benefits for events
  • Manages donor stewardship communications, touchpoints, and provides input on strategies to ensure a connection between fundraising events and stewardship activities
  • Fundraising Support & Revenue Management
  • Supporting with outstanding gifts process for event revenue, maintains budget documents to for all events, and organizes the fundraising reports for event leadership using Salesforce data
  • Manages the reconciliation of event revenue and collaborates on the preparation of board materials.
  • Serve as the Events Team's super user for Salesforce to drive and execute all special event-based functions and data while creating automated processes for reporting and data analysis
  • Internal Events
  • Lead select signature milestone based programmatic, school, and community-based events
  • Support with DREAM 8th and 12th Grade Graduation planning and execution
  • Support with volunteer events as needed along with the Volunteer Manager
  • Support with internal staff events as needed along with the Special Events Manager


  • Bachelor's degree preferred;
  • Strong operational and logistics mindset who uses data to drive decision making; ? An unwavering commitment to reaching goals;
  • The ability to bring partners in an organization to work together toward a shared vision and goals;
  • Experience executing events of various sizes and scopes;
  • Strong project management skills;
  • Steward of the guest experience and engagement from initial outreach through post-event activities;
  • Experience working in fast-paced environments with the ability to find creative solutions to problems and take initiative;
  • Experience working within an events or operations team to be able to support with building the tools and infrastructure for necessary events operations;
  • Ability to interact professionally with dedicated organizational leaders, including Board and staff members who have diverse backgrounds, professional skills, and perspectives;
  • Working knowledge of the New York City funding community, its leaders, and trends, a plus;
  • Excellent oral and written communication skills;
  • A strong belief in the mission and values of DREAM, including the belief that all students can succeed, and a deep desire to make a difference in the lives of our students, families, and community.


DREAM requires vaccination against COVID-19 for all employees, including a booster dose. Part-time staff hired for the summer season only, are exempt from the booster dose, however they must have received a 2-dose series or a single-dose COVID-19 vaccine.
