Sr. Operations Coordinator (Bilingual)

Altus Assessments - Remote - Full time

Our Purpose:

We are here to create a world served by exceptional professionals. Our products (Casper, Snapshot, and Duet) help higher education institutions to look beyond book smarts, seeing a clearer, more holistic view of applicants. It’s used by 360+ academic partners in Canada, the US, Australia (and growing!) with 150,000+ applicants taking the test each year, and covers 90% of all US medical school applicants. We also host the Admissions Summit, an annual 2-day conference, and power the Alo Grant, an annual $100,000 research fund.

Our Operations Team Philosophy:

On the Operations team, we fundamentally believe that we will always be greater than the sum of our parts. We love to teach and learn from one another, and we’re always there to lend a hand. We work hard, we take initiative, and lean into our challenges because that’s where we grow. We celebrate each other's wins and learn from one another’s mistakes. We recognize the importance of diversity of thought and we strive to welcome all perspectives and opinions to the table. We communicate, early and often, because no problem ever came from over-communicating. And finally, we care- a lot- about our work and our team.

The Role:

We’re looking for a Sr. Operations Coordinator (Bilingual) to support our Casper Content team. This person will be an in-house expert in post-production Casper test content development and test compilation. They will play a critical role in the quality and improvement of our content development and general content operations processes. You will work alongside the Operations team and closely with the Research team.

This is a full-time role reporting to the Operations Manager - Assessment Content, ideally located in Ontario but open to other parts of Canada. We are a remote-first company but will return to a limited office presence in Toronto post-Covid to accommodate employees that want/need an office.

Within 1 month, you will:

  • Onboard and get to know the team! We will work hard to make sure you feel supported and well-prepared to take on your new role
  • Get to know our Casper content - inside and out. Bring the popcorn, because you’ve got a lot of videos to watch!
  • Learn from your content counterparts on both the operations and research teams! There are several key people in-house who will be instrumental in getting you up to speed on our content program. Meet with them, ask them questions, shadow them, and learn as much as you can.
  • Observe and contribute in our team meetings - from a content perspective! You’ll get a clearer picture of how things work in content, while also giving input about how things can get even better (fresh eyes are key to continuous improvement)
  • Wrap your head around the content development lifecycle and get acquainted with the ins and outs of Casper content development and test compilation

Within 3 months, you will:

  • Learn about the Casper test blueprint and compilation process. Within the first 3 months, you’ll get the hang of what goes into building a test and you’ll gain confidence about how to compile Casper test content in a balanced, valid and efficient manner.
  • Work with our external contractor-base of Content Creators and Reviewers. This means helping with things like onboarding, coordinating, delegating work to, and coaching our Content Creators and Subject Matter Experts
  • Work closely with the Research team and the rest of the Operations team - the vision is for Ops and Research to work hand-in-hand within each specialty (Content, Rating etc.), leveraging one another’s strengths and collaborating together
  • Elevate the current processes we’ve got in place for content - like we said, fresh eyes are key
  • Leverage data and process - we’re looking to increase business effectiveness and efficiency, creating valuable systems that make us better. What is working well? What is not? How do you know?

Within 12 months, you will:

  • Be an in-house expert on Casper content development, test compilation, and general content operations
  • Work in tandem with the content operations team to execute on and improve our current content development, test compilation and general content operations processes
  • Challenge the status quo of “how it’s always been done”. Answer the question “What would make our content 10x better?” and help come up with a plan to get there
  • Work with research to develop and refine our Casper content development processes, including (but not limited to) an external content handbook, showcasing our R&D and sophisticated operational processes in an evidence-based manner

What will help you in your role:

  • High English and French language, spelling, and grammar proficiency
  • Demonstrated interest or background psychology & psychometrics; education & assessment; or literature & cultural studies (or similar) preferred
  • Strong creative writing and problem-solving skills
  • Ability to work under pressure and meet tight deadlines
  • Openness to feedback and demonstrated ability to learn and improve from feedback
  • An operator at heart- tendency towards the path of least resistance and optimizing for efficiency at all times
  • Self-starter with a structured work approach
  • Detail-oriented and extremely organized
  • Comfortable making data-driven decisions
  • Project management experience (or similar) preferred
  • Experience working at a company scaling from 100-500 people (or similar) preferred

  • We need someone who is a self-starter, highly curious about how the business works, and able to help us focus where it counts

  • Interested in being part of an amazing, caring team, and wants to build a sustainable, high growth business
  • Ability to thrive in fast-paced environments and prefer change over status-quo
  • Nurturing and empathetic with a professional, positive attitude and a sense of humility

Our Hiring Process:

Our hiring process optimizes for a positive candidate experience. The general hiring process looks like the following:

  1. Introductory phone screen: Chandra (our Manager of Recruitment) will review your application and if selected, schedule a phone call to get to know you better and tell you more about the role and company.
  2. Remote Hiring Manager interview: If you pass the phone screen, you’ll have a video chat with our Operations Manager-Assessment Content, Amanda, to discuss your experience in more depth.
  3. Remote team interview: If that goes well, onto a remote team interview, where you will meet with 4-6 members of our team (typically a 2-3 hour session). There may also be a short task assigned that closely mirrors some aspects of the role.
  4. Reference Checks: We'll ask for 2-3 professional references to chat about your time working together.
  5. Final Decision: The hiring manager will consolidate all of the feedback and let you know of their decision (there may be a quick additional call at this stage to help us make a decision)
  6. Offer: If you are our perfect match, and we're yours, an official offer will be made!
