WHO WE ARE SEEKING:

A highly-skilled, well organized, top-notch Senior Executive Assistant to support the CEO and members of our executive leadership team, providing support in all facets of ISTE’s daily business. You will play a key role in scheduling, communications, and problem solving. The role requires creativity, confidentiality, initiative, thoughtfulness, and follow-through.

The ideal candidate is a confident self-starter who enjoys juggling multiple projects at once. The role requires excellent digital skills, including experience with the Google productivity suite, Slack, Asana, etc. Ideal candidates will be detail-oriented and enjoy working on a fast-paced, highly creative team. Candidates must exhibit professionalism at all times and always use discretion, good judgment and diplomacy. Moreover, as a Senior Executive Assistant it is important that you are conscientious, flexible and committed to bringing your best self to the role every day.

WHAT YOU WILL DO:

ESSENTIAL RESPONSIBILITIES:

  • Proactively coordinate and engage with leadership in planning activities, calendars and the organization of events (such as staff meeting agendas, all-hands meetings, team morale-building)
  • Track and help drive completion of key projects and help prioritize multiple requests.
  • Have fun at work and help others do the same
  • Be a steward and leader of our team culture
  • Offer creative solutions when projects get stuck.
  • Provide project support to the marketing and events teams.
  • Perform office manager duties, including acting as liaison with the property management company.
  • Review and proofread executive communications
  • Manage office supplies and materials.
  • Coordinate all incoming and outgoing mail and shipments.
  • Occasional support of high-profile , external events.

WHAT MATTERS TO US:

  • 4+ years of previous administrative experience supporting Senior Directors and above
  • Experience with calendar management supporting multiple executives
  • Experience in the meeting and event planning environment
  • Experience working in a nonprofit environment a plus
  • Advance skill level using Microsoft and Google Suite products
  • Superb written and verbal communication skills
  • Proven ability to prioritize and handle multiple assignments while maintaining a commitment to deadlines and long-term goals
  • Experience using CRM, and Project Management tools (eg. Salesforce, Asana)
