ABOUT THE ORGANIZATION

The Primary School (TPS) is a new non-profit organization dedicated to dramatically improving health and educational outcomes for children. Fueled by the belief that the current model of school is too limited to close the achievement gap for our nation’s most at risk children, TPS is designing a new model of primary education and primary care which braids together education, health, and family support services starting at birth. We pair high expectations and joy, in a powerful community of supports to care for the whole child. We partner with a progressive health center that aims to redefine the boundaries of primary health care. With this innovative new model, we aim to expand the traditional definition of “school” in order to prepare all children to succeed in college, career, and life.

The Primary School approach has three defining characteristics:

  • Provide integrated and comprehensive services: We partner with an existing health care organization to address the needs of the whole child.. Educators, parent coaches and healthcare professionals come together as a team to provide integrated academic and health (physical, mental, and socio-emotional) services to students and families.
  • Start early: We admit students at or before birth, and will provide parent-driven, early childhood supports alongside medical care during the critical years of child development, ensuring that students are ready for school at age 3. Our infant-toddler program consists of regular parent-child playgroups to support the goals of attachment, language development, and resilience.
  • Offer two-generation supports: We put families at the center of this work and focus on building parent capacity to support the health and education of their children. Families receive services, including primary care, parenting coaching and connection to other social services, to help them better support their children and become healthier themselves.

We opened our first site in East Palo Alto in 2016 and will serve 300 children and their families (age 0 to 5) by spring of 2017. TPS was seeded by the Chan Zuckerberg Initiative, a major national philanthropy.

In addition to our core focus on directly serving children and families, TPS is committed to designing a model that is replicable in other communities and redefines what is possible for our highest need children and families. We are investing in design, research, evaluation, and dissemination that will allow us to replicate our model and transfer our learnings to others.

ABOUT THE ROLE

The School Operations Manager is responsible for the smooth and effective functioning of day-to-day non-instructional school administration so that the Principal, Assistant Principal and teachers can focus exclusively on student learning and wellbeing. This position will take on a variety of operational responsibilities managing student services, compliance, data integrity, and other general school support functions. This position report to the Sr. Manager of Program Operations.

Responsibilities

  • Student Services
    • Coordinate daily student food services at the campus; troubleshoot issues as they arise; ensure the accurate tracking of student meal consumption; report chronic service issues to the Sr. Manager of Program Operations.
    • Coordinate student health services; monitor student health and safety for any unusual/disconcerting trends; coordinate with site nursing staff to ensure that students receive appropriate care.
  • Compliance
    • In partnership with the Sr. Manager of Program Operations, lead monthly and annual reporting for California Child Care Licensing and California State Preschool Programs; and ensure all staff, volunteers, and families have required paperwork on file.
    • Assist the Sr. Manager of Program Operations on successful federal meal program audit.
    • Support teachers in completing all licensing and state preschool credentialing actions prior to first day of employment.
  • Student Data & Information
    • Manage and record new student enrollment and withdrawals in PowerSchool and Noho Care; partner with organizational staff on lottery and waitlist procedures.
    • Manage audit of student records for ongoing completeness and accuracy in PowerSchool – ensure that every electronic student record is accurate and updated on a timely basis.
    • Run ad-hoc reports for school leadership team to manage daily and weekly operational performance.
    • Serve as point person for teacher technical support in using PowerSchool and/or other sources of record for student information.
    • Oversee student attendance data process and ensure that it is reconciled and accurate on a daily basis.
    • Manage the operational logistics of student test administration at the campus, including the distribution of test materials to the classroom, and the collection and aggregation of results.
    • Produce academic and school culture reports (i.e., report cards, awards).
  • General School Support
    • Assist the Sr. Manager of Program Operations in preparing the campus annually for startup/new school year launch.
    • Work closely with the Principal, record and maintain the school’s calendar and class schedules, and ensure appropriate levels of staff-to-child ratios.
    • Assist with planning and implementation of school special events and field lessons.
    • Assist the Sr. Manager of Program Operations with facilities management including weekly and monthly facilities walkthroughs to ensure that facilities are up to organizational standards.

ABOUT YOU

  • You have at least four years of experience in an operations, coordinator and/or administrative role.
  • You have practiced habits of organization and project management, and can quickly move back and forth between the 30,000 foot and on-the-ground levels.
  • You can juggle multiple priorities and take pride in consistently meeting deadlines.
  • You have strong technical skills, experience in managing and manipulating databases and datasets, and are highly proficient in Excel.
  • You are a natural problem solver, fixer and finder of resources; when the going gets tough, you are calm under pressure and show excellent judgment.
  • You get joy out of building efficient, user-friendly and results-oriented work flows and processes.
  • You have the ability to motivate peers and colleagues to get things done - with or without the leadership title.
  • You are extremely self-aware and self motivated, and have a strong desire to learn.
  • You are comfortable in ambiguity and environments that change rapidly environments.
  • You want to work with and learn from all TPS team members, from early childhood education to parent coaching to community engagement.
  • You believe in the mission of The Primary School and that all children and families are capable of extraordinary things.

A Plus If

  • You are an East Palo Alto or Belle Haven native and/or have experience working with the East Palo Alto and Belle Haven communities.
  • You are fluent in Spanish (written and oral).
  • You have experience supporting children and families managing the effects of trauma and poverty.
