Overview

The deal flow processes and SalesTech stack for a multi-product organization are complicated, to say the least. We’ve built our growth strategy around some of the best tools on the market, including Salesforce, Insightsquared, Distribution Engine, YesWare, LevelJump, PandaDoc (to name a few). You are a process-oriented integration wiz who will help us scale all aspects of our sales operations and can’t wait to dive into the latest tech.

Position Description

40% Salesforce.com and Sales Stack administration, 20% process design and documentation, 20% reporting and analysis, 10% system training and team support, 10% system integration and strategy.

We are looking for someone who can optimize how our sales organization manages opportunities and processes deals; evolving our SalesTech stack to support the best practices you design by diving into Salesforce (and other systems) to build custom reports, manage workflows, troubleshoot data issues, and create a plan to optimize and better utilize our Sales tech stack. You are a wiz at figuring out technology integrations, including identifying and managing (through cross-team collaboration) impacts to other teams and you can distill complex processes into workable workflows for your team.

Reporting to our VP of Sales, this role owns the day-to-day management of CRM and data systems. Support our marketing team with campaign reporting and analysis. Support other department stakeholders (customer success, product marketing, etc) with CRM data expertise. Act as the go-to-person for support and training across the technology platforms. Strong organizational, team-working skills and flexibility are a must.

Your responsibilities:

● Streamline sales processes, identifying enablement opportunities, process gaps and areas for improvement in deal flow and interactions with other teams including, Marketing, Finance, Orders, Legal, Services

● Manage, integrate and evolve sales technology stack, enabling reps and leadership to more effectively use tools such as Salesforce, PriceBook, PandaDoc, InsightSquared, Distribution Engine, LevelJump, Yesware, etc…

● Build reports/dashboards to track sales KPIs, informing stakeholders and on historical achievement, current performance and expected results

● Oversee and Improve CPQ Business Processes (including approvals, discounts, and cross-organizational alignment)

● Create, maintain, and present documentation including training materials, rules of engagement, and process maps to ensure adherence to internal policies

● Manage lead distribution flow from all marketing campaigns

● Work with Sales, Legal, and Finance teams to improve quote, contract and deal audit processes

● Provide training and support for cross-functional team members to ensure data management aligns across our systems.

● Prepare and maintain documentation, including Playbooks and training manuals across Sales Stack

● Interact with Salesforce (and other system) technical support to resolve system issues.

● Test and validate data quality, accuracy integrity within Salesforce.

● Manage operational requests, troubleshooting and identifying solutions to improve technology use and performance.

● Maintain database integrity including cleansing, duplicate record management, new contact additions and removing dead contacts from the CRM.

● Manage all sales related technical resources and migration of data into Salesforce.

● Evaluate new potential technology solutions to determine impact to current workflows and processes. Manage downstream implementation and training for affected teams.

● Administer monthly KPI reporting across tools.

A week in the life of our Sales Operation Manager

● Regular interaction with other members of sales team to ensure their comfort with, proper use of our SalesTech stack to track opportunities and manage deal flow

● Participate in weekly team strategy and product meeting.

● Own your projects and their deadlines week to week.

● Collaborate with team across the organization to ensure systems are running smoothly.

● Troubleshoot challenges as necessary, implement effective solutions, and communicate any changes with impacted team members.

● Salesforce workflow administration, for example, task creation for incoming MQLs, updates to the DistributionEngine to ensure appropriate sales team MQL assignments.

● Analyze Sales KPIs campaign performance, opportunity-close rations, and discuss with growth team opportunities for improvement and optimization of current programs.

● Collaborate with Marketing to import list updates into SalesStack and marge any duplicate records to keep data clean.

Your hand in guiding strategy

● Make optimization and technology recommendations to improve system integrations and result outcomes.

● Participate in brainstorming and group initiatives where technology and data guidance are important.

Qualifications

Qualifications

● 1-3 years in a similar role in sales or sales operations, B2B Software, SaaS company.

● Hands on experience with Salesforce, including reporting, workflows, and task management.

● Hands on experience with reporting tools such as InsightSquared, preferred.

● Ability to problem solve, seeking the best solution to improve process efficiency, workflows for team members.

● Experience with system integration, implementation and training a bonus.

● Keen eye for detail and understanding of the potential downstream impact of seemingly small system changes.

● Self-motivated with the ability to take direction and work collaboratively or independently when necessary.

● Technically proficient with data collection methods and management of a database to ensure accurate and clean data.

● Desire to help create something big.

Education

● BA/BS degree in Business, Communications, Marketing, or other related fields.

● Salesforce certification a plus.
