Regional Data, Operations, and Assessments Project Manager

Position Overview

The Project Manager will play an essential role in the Regional Operations team in building, optimizing and sustaining a robust, high-performing reporting, compliance, and public programs function at KIPP Bay Area. Critical to that work will be overseeing key projects related to improving local, state and federal reporting - including English Language Learner (ELL) reclassification and Title III, attendance and ASES - as well as managing and optimizing systems for state assessments (SBAC, ELPAC) to inform critical decision-making regarding academic priorities. This leader will also support hiring, training and developing KIPP’s school-based data managers, partnering with principals and school operations leaders—as well as the Data, Special Education and Academics teams—to design monthly professional development opportunities and coach these team members to excellence. This is a full-time position, located in our Regional Support Office, with ~20% travel required to schools around the Bay Area. The Project Manager will report to the Associate Director of Regional Operations.

Key Responsibilities include, but are not limited to:

Support Federal, State and District reporting and compliance

  • Collaborate with school and regional teams to develop and implement effective tools and processes for collecting and cleaning data across a variety of platforms, including PowerSchool
  • Ensure timely, accurate data entry and data cleanliness of English language-learner data in PowerSchool and TOMS.
  • Lead accurate, on-time completion of compliance and reporting related to public programs and funding, including attendance and After School Education and Safety (ASES).
  • Complete and submit school-specific reports required by the U.S. Department of Education, California Department of Education (CDE) and our authorizing school districts
  • Prepare all schools and the region for annual audit by collecting and reviewing required documentation
  • Lead the development and dissemination of key reports requiring basic data analysis (ex. pivot tables, Vlookup) and data visualization (ex. charts and graphs)

Lead regional assessment management

  • Operationalize state and regional assessments (i.e. ELPAC, SBAC) by sourcing materials, clarifying instructions, and managing distribution
    • Partner with Academics to develop assessment calendars and protocols for testing
    • Liaise with school leadership and assessment coordinators to provide timely, accurate communication and support
    • Build expertise on assessment regulations and administrative rules to synthesize state requirements for stakeholders (school & regional leadership; testing coordinators)
  • Coordinate compliance related to EL testing and reclassification to ensure timely, accurate reporting for schools and RSO teams
  • Collaborate with Academics, Operations and Data teams as needed to analyze participation data and identify strengths and areas for improvement.

Develop strong data management in our School Operations teams

  • Successfully build relationships with key school-level stakeholders, including operations leaders, school leaders, and assessment coordinators
  • Lead large and small group training on data systems, data management, and data-driven decision-making
  • Build data skills and fluency in our school teams through one-on-one training and support for non-technical staff in data collection, cleaning and management best practices


  • Requires a deep commitment to educational equity and the belief that all students can learn
  • Bachelor’s Degree and 2+ years of work experience or 5+ years’ work experience required
  • Experience in data entry, collection and/or management required
  • Knowledge of federal and state education policies or familiarity with student assessment, Common Core state standards, and current pedagogical practices preferred
  • Analytic mindset, with a proven ability to think critically about data and data processes
  • Excellent organization and planning skills, strong follow-through and keen attention to detail
  • Demonstrated ability to work well with others and build relationships across teams

  • Excellent written and verbal communication skills
  • Working knowledge of Google Suite, including advanced Google Sheets (or Excel) skills, required
  • Experience with SQL, PowerSchool, Illuminate or other database systems preferred
