NTC’s Technology Department

NTC’s digital strategy is a critical component of our future success. We must meet current needs while keeping an eye on where our ed tech and operations needs to be in the future. Our current tech solutions focus on collaboration, data-driven decision making, and formative assessment to improve educator-specific competencies. Our roadmap also includes innovating our services, testing new delivery models, and getting smarter and faster with our internal operations.

Our Technology Department is a distributed team that manages a complex project portfolio. We work closely with vendors and various NTC staff across all departments to implement tech-enabled solutions (SaaS and custom-built) that amplify our people-focused mission.

Position Summary

The Project Administrator plays a pivotal role in ensuring our geographically-dispersed department is effectively leveraging its resources to collaborate, coordinate, and communicate as part of leading high-performing teams and executing successful technology projects. The ideal candidate has experience setting up and maintaining processes to keep things running smoothly, is committed to open communication and collaboration with a diverse set of stakeholders, and is excited by the role that technology and project management play in making a difference in the lives of educators and students.

*This position will work from our Redwood Shores office, or the Santa Cruz Headquarters. Based on location, there may be a partial remote option available.

Responsibilities & Essential Functions:

The following is an overview of the duties and responsibilities assigned to this position. The employee may perform other duties as required.

  • Support Sr. Director and project managers with developing, implementing, and improving key collaboration processes to integrate project plans (e.g., scheduling, release planning, Agile backlog grooming)
  • Document and communicate critical information from team and project meetings
  • Coordinate project resources - including people and information
  • Facilitate and coordinate the department’s team meetings and internal learning
  • Organize, track, funnel, and engage colleagues re: resources related to key tech strategy themes and topics
  • Create systems for gathering and synthesizing feedback
  • Review and edit presentations, reports, and communications
  • Complete critical tasks to keep projects on track 


  • Associate’s Degree required; Bachelor’s degree preferred
  • 2+ years of experience in a related field
  • Excellent verbal, written and interpersonal communication skills with an ability to be clear, concise, and relevant for diverse set of stakeholders and contexts
  • Ability to prioritize, schedule and manage multiple, complex projects so that they are completed on-time and within budget
  • High attention to detail and accuracy
  • Advanced proficiency in Microsoft Office (Word, PowerPoint, and Excel) and project management software (Smartsheet, Google Drive, Slack preferred)
  • Adaptable and flexible: able to work with a variety of personalities, work styles, and situations
  • Practical implementer: identify what’s needed and being resourceful, proactive, and reliable in making it happen
  • Ability to pick up and learn quickly with a willingness to take risks, ask questions, and stretch
  • Desire for continuous learning: ability to challenge yourself and the “ways things have always been done” to improve the product, process, and experience
  • Passion and commitment to NTC’s mission as well as the role technology and project management play to amplify our reach and impact

ADA Requirements/Working Conditions

  • Work normally performed in a typical interior/office work environment
  • Limited physical effort required
  • Ability to type a minimum of 40 wpm
  • Grasping, hearing, repetitive hand motions, sitting, talking, typing
  • Travel as needed (estimated 10 days/year)
