Job Summary:

Under the general supervision of the Director of JNTP, the Project Administrator supports JNTP’s training events, fundraising events, and general administrative needs.

Hours:

This position is a part-time position, with a variable and partially flexible schedule. Hours from July-December range from 20-30 hours per week and from January-June range from 15-20 hours per week. The position includes 15 extra-long days (during the Fall and Winter) and approximately 25 evenings between October and May (evening work is online and can be done from anywhere with a strong internet connection).

Responsibilities & Essential Functions:

The following is an overview of the duties and responsibilities assigned to this position. The employee may perform other duties as required.

Program Support

  • Work with Associate Director and program staff to ensure professional development days run smoothly
  • Order and produce materials for JNTP professional development days including editing, photocopying, packing and shipping materials to arrive at training sites on time
  • Coordinate arrangements for meeting space, food and audiovisual resources
  • Create, maintain and monitor online registration forms and attendance data, including preparing sign-in sheets and nametags and recording participation in the database
  • Communicate with participants regarding training logistics
  • Be on-site presence at all (15) professional development days in NY, with lead responsibilities for room setup and breakdown, participant registration, tech support, food set up and clean up
  • Provide tech support for online trainings and webinars, which occur both during daytime and evening hours (Training will be provided in relevant technology)
  • Coordinate with contacts at JNTP satellite locations (Baltimore, Chicago) regarding space, food, and materials, and ensure that all trainer and participant materials are produced and shipped in a timely fashion
  • Maintain professional development calendars
  • Prepare and distribute Certificates of Completion
  • Manage participant enrollment in Learning Zone online tools accounts

Recruitment and Registration

  • Maintain data accuracy of database and participant records
  • Generate groups, lists and other data manipulations as needed
  • Communicate with schools and participants to collect registration and participant info

Impact Research

  • Support implementation of annual NTC Induction survey

General Admin Support

  • Assist with invoices and expense reports as needed
  • Monitor JNTP email account
  • Monitor JNTP voice mail account
  • General office management as needed, including purchasing office supplies

Qualifications:

  • Bachelors degree required
  • Minimum 2 years of experience in related role
  • Detail-oriented
  • Ability to articulate thoughts and ideas clearly and effectively in a professional and polished manner through speaking and writing
  • Ability to organize, prioritize and coordinate multiple tasks with accuracy and detail
  • Ability to work independently as part of a team that often works off-site
  • Ability to think critically about situations, proactively address challenges, and problem-solve when issues arise
  • Strong technology skills including proficiency in Microsoft applications (Word, Excel, PowerPoint, etc.), Adobe Acrobat Pro, Google products (Drive, Sheets, Docs, etc.), database programs, and other related technology applications. Ability to comprehend and learn other software programs as needed.
  • Proven ability to operate independently with limited supervision
  • “Can-do” attitude to provide the highest quality service to clients and colleagues
  • Familiarity with Jewish community organizations, and Jewish day schools in particular, is a plus
  • Familiarity with the Hebrew language is a plus
  • Passion for improving teaching, learning and leadership in Jewish day schools

ADA Requirements/Working Conditions:

  • Work normally performed in a typical interior/office work environment
  • Limited physical effort required – lifting boxes up to 20 pounds
  • Grasping, hearing, repetitive hand motions, sitting, talking, typing, packing boxes
