The opportunity

The Philanthropy Operations Manager will play a key role in expanding the capacity of a fast-paced philanthropic revenue program to accelerate TalkingPoints overall growth and impact. Reporting to the Senior Director of Philanthropy, this critical position on our team is charged with managing and implementing systems and tools to increase the effectiveness of our fundraising efforts. Specifically this role will focus on maintaining Salesforce as our system of record to drive ‘best in class’ cultivation and stewardship practices as well as administrative support to the philanthropy team. This is an ideal opportunity for a systems thinker with a firm command of fundraising operations and moves management processes. This position requires strong organizational skills, attention to detail and an ability to prioritize as well as multitask. It is expected that the amount raised by TalkingPoints will increase in future years as the philanthropy team systematically and effectively strengthens the organization's overall fundraising capacity. Key responsibilities include:

Philanthropy Operations:

  • Manage rapidly growing philanthropy operations through management of systems and tools that support the funder journey. Current systems include but are not limited to Salesforce, Notion, Slack, G Suite, Mixmax, research tools, and email marketing tools.
  • Document fundraising processes into TalkingPoints philanthropy playbook as a resource to support training, onboarding, and adherence to standard processes for the philanthropy team.
  • Create new and/or update practices to drive fundraising activities with increased efficiency as we scale, including identification of new tools/systems, and supporting adoption and implementation.
  • Support monitoring of philanthropic revenue progress through generation and preparation of fundraising reports ahead of team and staff meetings.
  • Work with the philanthropy team and accounting department to ensure accurate gift tracking and reporting.

Database and Administration

  • Maintain Salesforce as TalkingPoints primary system of record with a high degree of data integrity, including adding new contacts, accounts, and funding opportunities with updated research, meeting notes, and next steps to drive fundraising activities.
  • Provide logistical support for the philanthropy team, including maintaining the team’s philanthropy calendar, scheduling funder/donor meetings, booking fundraising related travel, etc.
  • Collaborate with internal teams to maintain an updated list of key funder-facing metrics.
  • Manage philanthropy team’s subscriptions and accounts, including managing the philanthropy team’s inbox, Google alerts, donation portal, among others.

Communications and Stewardship

  • Conduct research on prospective funders and market research to support positioning across key prospective funder profiles.
  • Maintain a repository of philanthropy collateral, assets, and beneficiary stories.
  • Coordinate philanthropic partner newsletter campaigns, outreach, and annual impact report, including email list management and maintenance.
  • Assist with the preparation of fundraising and stewardship events, including preparation of materials and other duties as needed.

Who you are

The ideal candidate will have most or all of the following:

  • A minimum of 3 years of experience in an administrative/operational role in a fundraising setting; experience with education or edtech organizations a plus
  • Knowledge of fundraising concepts, donor lifecycle, and moves management.
  • Experience with TalkingPoints primary philanthropy systems/tools (Salesforce, Notion, Slack, G Suites, Candid) and an appetite to identify new ones.
  • Detail-oriented, organized, and deadline-driven
  • Project management experience is a plus
  • Motivated self-starter with the ability to work independently
  • Compensation commensurate with experience
