Our first school, Beta Academy in Richmond, CA, opened in 2014 and is now a fully grown K-8 serving 800 students. ChangeMakers Academy in Vallejo, CA opened in fall 2016 and serves 700 students, TK-8th grade. Our long-term vision is to serve students K-12 in our immediate and surrounding communities.

Position Summary

The Accounting Clerk will work on the Caliber Schools School Support Organization (SSO) team and will be responsible for day-to-day bookkeeping for our central office and our two schools in Richmond, CA and Vallejo, CA. You will coordinate with the operations leads at each of our campuses to ensure that bills are paid and checks are deposited in a timely and accurate manner. This is a part-time role (ideally 3 hours per day x 5 days per week) located at our Richmond, CA campus and reports to our Chief Operating Officer.

Responsibilities

The Accounting Clerk will be responsible for:

  • Supporting the day-to-day Accounts Payable needs of the organization:
    • Receiving vendor invoices and ensuring they are submitted to approvers on a timely basis through our invoice processing and payment software (SAP Concur).
    • Applying the appropriate accounting objects and classes to each invoice.
    • Preparing one-off checks on an as-needed basis when payments need to be processed faster than through our automated payment process.
    • Collecting and filing receipts related to manual payments made by our school teams.
    • Maintaining consistent and accurate digital and physical files for all vendors.
  • Supporting the day-to-day Accounts Receivable needs of the organization:
    • Recording and depositing checks
    • Identifying and coding direct deposits received via ACH/Wire
  • Reconciling bank accounts on a monthly basis
    • Reviewing register activity on a monthly basis to identify any uncashed checks
    • Reconciling bank statements to verify activity
  • Assist with month-end and year-end closing and audit processes
    • Research unreconciled activity
    • Identify missing invoices from recurring vendors
    • Prepare information requested by auditors

Qualifications

Experience:

  • 1+ years of relevant accounting-related experience
  • Prior experience with accounting in an educational (ideally charter school) environment preferred

Skills:

  • Understanding of core AR & AP concepts (expense allocation, charts of accounts, etc.)
  • Familiarity with typical AR & AP workflows (account reconciliations, expense reporting, month end close, year end close, etc.)
  • Experience with QuickBooks (online or desktop) or SAP Concur systems a strong plus
