Operations Manager

Summit Public Schools - Daly City, CA - Full time


Position Overview:

Reporting to the Executive Director, the Operations Manager (OM) supports the school leadership team to ensure strong and compliant daily site operations. The OM is a process- and systems-oriented multi-tasker with an eye for detail that gracefully juggles any number of key tasks to keep everything running smoothly. As a site leader, the OM also works to build a positive culture among staff, students and families.

Summary of Responsibilities:

Front Desk Management

  • Welcome visitors at front desk and create a warm, welcoming and organized environment
  • Respond to public inquiries. This includes answering phones and emails, checking voicemails, sending robocalls/robotexts, responding to questions from families and students and assisting faculty with inquires
  • Receive, distribute, and prepare mail and shipments
  • Maintain school supply areas and assist with inventory control
  • Maintain office equipment and ensure that copier, fax and postage meter are always in working order
  • Coordinate distribution of loaners (laptops, headphones, chargers)
  • Collect money for student lunch balances etc. and provide receipts for each transaction
  • Enter student enrollment data, update student info, and process student data for exits/withdrawals

Attendance

  • Process late arrivals and early dismissals and follow up with families of absent students
  • Maintain daily attendance reports and verify teacher daily attendance; prepare weekly attendance reports
  • Oversee weekly attendance procedures
  • Oversee monthly attendance procedures
  • Oversee P1, P2, and P(annual) reports
  • Manage attendance tracking for annual audit

Meals

  • Oversee daily meals program as site food manager
  • Manage daily breakfast and lunch service. This includes supervising deliveries, operating point of sale, collecting payments, and managing lunch server
  • Monitor compliance of NSLP
  • Oversee meal application collection and processing

Health and Safety

  • Act as site safety lead including school safety plan and IIPP management; this includes CPR, First Aid and EpiPen training
  • Coordinate site emergency drills
  • Record and report incidents
  • Coordinate site nursing services

Student Records

  • Manage intake and ongoing maintenance of student cumulative folders, including processing records requests for entering/exiting students
  • Assist with distribution of reports cards and transcripts

Student and Family Engagement

  • Assist with monitoring and management of student behavior
  • Assist with recruitment of new students; advertise recruitment events; set up recruitment events; schedule tours and shadows; assist administration with new student enrollment; assist administration with student shadow days; translate communications for parents and community
  • Manage enrollment paperwork collection and processing
  • Manage parent volunteer program

Transportation

  • Manage student transportation program (WA only)
  • Coordinate transportation for McKinney-Vento students

Office Supplies

  • Order supplies and manage supply budget
  • Coordinate all deposits and site accounting

Requirements:

  • Bachelor’s degree highly preferred
  • Fluency in Spanish and English strongly preferred
  • Strong knowledge of Google Apps (Drive, Docs and Spreadsheets) and Microsoft Office (Excel, PowerPoint and Word) highly preferred
  • Office and/or school experience preferred
  • Meet health clearance, and pass the reference, background/criminal checks, per education code.
