Operations Lead

The AI Education Project - Remote - Full time

The AI Education Project (aiEDU) is a 501(c)(3) non-profit centering equity and accessibility in AI education. We educate students—especially those disproportionately impacted by AI and automation—with the conceptual knowledge and skills they need to thrive as future workers, creators, consumers, and citizens.

We’re looking for an experienced Operations Lead who will work with our operations team (our Chief Operating Officer and contracted vendors) to enable our organization with the resources, processes, and environment needed to do our very best work. This role will have ownership over several aspects of a small startup organization including finance, recruitment and retention of top talent, internal operations, supporting strategic initiatives, and additional tasks defined by the COO! Your work will be vital to helping our organization thoughtfully build and scale, and will construct a stable and growing team to adequately prepare students and teachers for an AI-empowered future.

✅ Your responsibilities will include working on projects like:

People Operations/Human Resources

  • Building, documenting, and implementing internal systems that allow for a world class employee experience, whether through integrating new tools or designing new processes yourself.
  • Managing team documentation, ensuring our policies and processes are clear, fair, balanced, and compliant.
  • Managing aiEDU’s office calendar including team celebrations and internal event planning.
  • Facilitate scheduling support and processes for management and team events, both internal and external.
  • Leading delivery and effectiveness of the employee lifecycle activities including hiring, onboarding, off-boarding, and leave management.

Finance

  • Working with our bookkeeper to keep Quickbooks up to date, pay bills, and track donations, grants, and other revenue.
  • Supporting leadership in maintaining accurate budget reports and projections.
  • Supporting financial filing (e.g. 990) and audit and preparation by maintaining comprehensive records and interfacing with accounting firms.
  • Managing team travel, including expense reporting, and reimbursement.
  • Supporting vendor and tool procurement.

Technology & Tools

  • Overseeing the internal systems that keep aiEDU running smoothly, including Google Workspace, Notion, and Slack among others.
  • Managing organization-owned laptops and other hardware.
  • Managing organization’s security policy and processes.

Strategic Support

  • Supporting the leadership team in organizing full-team retreats and goal planning.
  • Supporting the leadership team in the organization’s comprehensive review process.

🚀 Our ideal hire likely…

  • Has 3+ years of experience working on operations/people teams for a fast-growing team.
  • Has a Bachelor’s degree, or commensurate educational + work experiences.
  • Has worked in a startup environment and is excited to work in a dynamic setting.
  • Has designed policies/processes successfully adopted by a team – bonus points if the team was remote.
  • Is a strong project manager and can balance multiple projects and competing priorities.
  • Thrives in uncertainty and embraces opportunities to take on new responsibility.
  • Takes initiative to identify problems and takes timely action to solve them in a creative and collaborative manner.
  • Commitment to lifelong learning and incorporating new skills and knowledge as needed by the role.
  • Is passionate about technology and education.
