Online Tutoring Coordinator

School on Wheels, Inc. (SOW) is a small, nonprofit organization made up of hundreds of volunteers who give their time, talents and support to the educational needs of homeless children who have a daily struggle in accomplishing their number one job as a child: learning.

Job Summary

This full-time position is responsible for the tender love and care of our online tutoring and digital literacy programs. Working as a team member, this position includes overseeing the outreach, recruitment , training, appreciation and retention of online volunteers, matching volunteers with students online, digital curriculum development, and working with partner organizations, parents and students to strengthen relationships with volunteers and School on Wheels.

Major Responsibilities

Online Tutoring Program Design and Development

  • Research existing curricula and programs focusing on digital learning, including digital literacy, computer science, and coding.
  • Using existing content, design and develop curricula to be used both online and in-person to enhance students’ digital literacy and technology skills.
  • Continue to research and test new online tutoring platforms and tools to improve and enhance the online tutoring experience for students and online volunteers.
  • Develop three levels of curricula: basic, intermediate, and advanced to be used with students of all ages (K-12).

Student Outreach and Recruitment

  • Work with coordinators in all regions to identify locations where online tutoring would be beneficial.
  • Conduct outreach to shelters, group foster homes, motels, schools, afterschool programs, campgrounds, and vehicles that were previously inaccessible or outside of our current regions.
  • Conduct initial on-site meetings and develop professional and supportive relationships with location staff; check for Internet, access to appropriate technology, and a safe physical learning space for online tutoring.
  • Conduct regular check-ins to locations to identify new students and enhance location relations.

Student Matching, Appreciation, and Tracking

  • Identify best possible match for both student and online volunteer, focusing on one-on-one matches.
  • Ensure assessments are completed after the second session.
  • Identify star students every month and submit write-ups for newsletters.
  • Identify student advocates and keep track of SOW success stories.
  • Develop student workshops and group tutoring plans.
  • Help create database of SOW alumni.

Volunteer Outreach and Recruiting

  • Recruit, manage, train, and support online volunteers to ensure an ongoing supply to meet student needs.
  • Research, post, and maintain online volunteer recruitment posts; work with marketing and applications teams to target and recruit specific types of online volunteers (e.g., computer programmers; university students) based on student needs.
  • Explore partnerships with other online tutoring and volunteer-based organizations.

Volunteer Training and Development

  • Revise and enhance existing online volunteer training to include updated policy information and other relevant content.
  • Conduct online volunteer training with new online volunteers.
  • Improve communications especially with new volunteers, focusing on needs and connections. Phone call after 3-6 sessions.
  • Check in with active volunteers on a regular basis, at least monthly, and distribute relevant information and resources. Update database to reflect communications.
  • Research best nationwide background checks for out-of-state volunteers and explore the possibility of international volunteers.
  • Provide relevant training and resources for online volunteers.

Volunteer Matching, Appreciation, and Retention

  • Work with coordinators and/or partner location staff to identify best possible one-on-one matches for students and online volunteers.
  • Conduct regular virtual meetings with volunteers and TCs to provide a sense of community and share ideas/resources.
  • Post, moderate and invite new online volunteers tutors to join social media platforms.
  • Identify star online volunteers every month and submit write-ups for newsletters.
  • Send thank you, birthday, anniversary, and other special event communication to volunteers, including special offers such as gift cards, vouchers and discounts.
  • Develop creative volunteer appreciation methods.
  • Review results from annual tutor surveys and implement new strategies for volunteer retention.
  • Review exit surveys and evaluate way to improve.
  • Assist with letters of recommendation or reference letters.

SOW Safety Policies and Guidelines

  • Ensure that volunteers are following SOW’s safety policies and guidelines, including logging policy.
  • Reiterate safety policy and review virtual TPS agreement at first session with students and online volunteers. .

Database and Administration

  • Update database with all student and online volunteer information on a regular basis, including notes, demographic changes,assessment data, and communication.
  • Read and respond regularly to sessions and comments logged by online volunteers.


  • One to three years experience managing volunteers, preferably working with at-risk children.
  • Excellent technology skills, including use of Microsoft Office, G Suite, and Internet applications, as well as troubleshooting skills. Knowledge of online learning, computer programing, and coding highly desirable.
  • Must be organized with excellent time management skills and able to balance multiple priorities and deadlines.
  • Ability to perform in a team environment, while working independently.
  • Ability to listen and communicate effectively with a wide variety of people – excellent oral, written, and presentation communication skills a must.
  • Fluency in English and Spanish preferred.
  • Ability to represent SOW in the highest manner and exemplify SOW’s values, integrity and ethics.

Working Conditions

  • Frequent early evening and Saturday work required.
  • Significant driving required; valid California driver’s license, auto insurance and use of personal vehicle (mileage reimbursed).
  • Lifting of material donations, including backpacks, school supplies, etc. required periodically.
