Position Overview

The Founding Operations Manager will join KIPP Bay Area Schools during an exciting phase of growth as we open this school. The Founding Operations Manager is instrumental to building and sustaining a thriving, college-preparatory school from the ground up. This leadership role is part of the school administrative team and oversees all finance and operations functions necessary to run a high-performing school. Additionally, s/he will play an integral role in the development of a joyful and rigorous school culture.

The ideal candidate for this role is someone who believes deeply in doing whatever it takes to help our students succeed. S/he should thrive on project management and effective organization, have demonstrated success in balancing multiple priorities, building relationships with both children and adults, and proactively solving challenges in collaboration with teammates. We are looking for someone who is passionate about KIPP’s mission.

S/he will report to the School Leader and is accountable to the Operations team at the Regional Support Office (RSO), which supports all KIPP schools in the Bay Area. This position is based in East San Jose and is available July 1, 2017.

Roles and Responsibilities

School operations leadership and team management

  • In partnership with the School Leader and regional operations team, develops and implements school wide operational systems to support teaching and learning
  • Plays a leadership role in the school’s annual planning and budgeting process
  • Hire, train, and develop a school operations team (including office and janitorial staff)
  • Serve as the face of the school answering questions from parents, students, and visitors
  • Serve as the primary point of contact to the operational functions of the RSO
  • Clearly defines roles and responsibilities for any school operations-related issues

Student recruitment and enrollment

  • Develop and execute a year-round student recruitment and enrollment strategy that reaches the students who need us most
  • Manage enrollment process from start to finish, including generating leads, following up with interested families, reviewing applications, conducting the lottery, managing the waitlist process, and leading conversion efforts
  • Help coordinate and lead info sessions, campus tours, summer conversion/retention activities, and home visits (in collaboration with school staff)
  • Build and sustain strong working relationships with community organizations
  • Maintain clean and accurate information in SchoolMint and other relevant enrollment tools

Daily school operations

  • Lead overall move-in and preparation of school facility
  • Oversee all aspects of facilities maintenance, janitorial services , food service operations, procurement and inventory of school supplies, and communication systems with families
  • Serve as the leader on the school safety plan and train staff on risk management and emergency procedures
  • Coordinate technology procurement and technical support for the school, including training, support and account provisioning

Student data, finance, and human resources

  • Manage cumulative records and the student information system
  • Lead in creating the school schedule, master calendar and student transcripts
  • Complete state and district reporting and compliance submissions, ensuring regular, accurate and timely reporting around attendance, truancy, FRL participation
  • Manage the school budget and implement fiscal policies, controls, and procedures
  • Secure coverage for teachers absent during a given school day

School culture and learning environment

  • Help plan and host on-campus and off-campus school events, including student field trips, staff events, and KIPP Parent Association (KPA) meetings
  • Own family communication systems (e.g. weekly newsletter, website, Facebook group)
  • Maintain and update school bulletin boards
  • Build and maintain partnerships with professional organizations
  • Perform other related duties and special projects as required or assigned by the School Leader such as training student ambassadors and organizing parent volunteers

Skills and Qualifications

  • Unquestioned integrity and commitment to KIPP Bay Area Schools’ mission and values
  • Bachelor's degree and minimum 3-4 years of work experience required
  • Spanish or Vietnamese fluency strongly preferred
  • Ability to self-direct, prioritize and multi-task among competing goals, while exhibiting flexibility in a fast paced, entrepreneurial environment
  • Outstanding organizational and project management skills
  • Demonstrated ability to build and manage relationships with diverse stakeholders and move others to take action (even in the absence of formal authority)
  • Strong track record of collaborating with others and managing up, down and across to to deliver results
  • Growth mindset and a demonstrated commitment to continuous learning and development
