Executive Assistant/ Research Assistant

The Executive Assistant/Research Assistant will provide executive administrative support to the Chief Academic Officer of Summit Public Schools, develop new systems that improve the efficiency and efficacy of the Research and Development team, and manage projects across the diverse portfolio of responsibilities of the leadership team. As a Research Assistant, you will support on projects across Summit’s R&D Agenda. You will provide support on research projects related to assessing outcomes, social-emotional learning, family engagement, and several other projects.

This role reports directly to Summit’s Chief Academic Officer, works closely with the Senior Director of Research and collaborates across teams in the Summit organization. This is a full-time position located in the Bay Area, California.

What You’ll Do:

Executive Assistant Responsibilities (estimated time percentage in parentheses):

  • Provide executive administrative support to the Chief Academic Officer (30%)
    • Calendar management, including scheduling meetings, tours and events, with internal and external partners
    • Develop systems to manage, sort, and prioritize incoming communication (email, mail, paperwork, signatures, regular and annual communications) from various stakeholders and potential partners (including donors and executives across the private sector and education reform landscape)
    • Develop and manage cadence for ongoing communications with external partners, including drafting outgoing content
    • Develop and maintain system for managing contacts
  • Manage special and ongoing projects: (10%)
    • Provide project management for projects led by members of the Leadership Team
    • Assist in the development of materials for presentations, board-level events and manage board compliance and communication
    • Create and maintain key organizational documents including system calendars, organizational charts, and other reference materials
  • Manager travel and expenses (5%)
    • Plan and book travel, and complete and submit expense reports on behalf of the Chief Academic Officer and Senior Directors of the team
  • Manage meeting and event logistics: (5%)
    • Serve as point-person for preparing team, board, meeting, or other event logistics
    • Take and share notes from meetings; track action items and ensure completion
    • Manage logistics for 3-4 all organization days in which over 250 employees come together for professional development and culture building

Research Assistant (50%)

  • Conduct research and coordination of research participants/projects
    • Conduct background research for projects (e.g. literature reviews, identifying/engaging experts), utilizing rigorous and thorough research practices.
    • Conduct project administrative tasks, e.g. entering survey data, creating and distributing project materials to relevant stakeholders, scheduling across collaborative teams.
    • Support in the development of research recruitment systems and coordinate times for participant interview or engagement.
    • Collaborate with teachers to conduct primary research and support site-based pilots, including conducting interviews, classrooms observations, and engaging in student work analysis.
    • Utilize education knowledge to participate in contextualizing, synthesizing, and sharing research findings with key stakeholders.
  • Proposal and report writing
    • Write relevant proposals and reports in close collaboration with Directors of Research Projects.
  • Team collaboration
    • Serve as a collaborative team member, working closely with all members of Summit’s R&D team, Analytics team, and many others across the organization.

  • Bachelor’s Degree (a Master’s Degree in Education, Research, or a similar field is strongly preferred).
  • Prior experience in charter management organizations or other schools environment is preferred.
  • Prior experience organizing or conducting primary and secondary research is preferred.
  • Proficiency in Google Platforms, including Google Drive, Google Sheets, Google Docs, and Google Slides.
  • Clear health and background check.
