Events and Operations Coordinator

Position

PIE Network seeks a full-time Events & Operations Coordinator. This position is an opportunity for an exceptional events planner with a passion for and experience in planning and executing impactful professional events who is ready to leverage their professional expertise to support leaders across the country. Reporting to the VP of Finance and Operations the ideal candidate will possess a strong track record of event planning and hosting, excellent organization, communication, and multi-tasking skills, adaptability, energy, creativity, and optimism, a great sense of humor, and a passion for the Network’s mission and our commitment to serving our members.

All PIE Network team members work remotely, so the right person for this role must be a self-starter who is comfortable managing and working via virtual platforms.

The PIE Network connects, strengthens, and catalyzes the work of education advocates across communities, states, and ideological lines. Our members are powerful and diverse champions for students whose organizations lead efforts to transform education so that every learner can succeed. The PIE Network represents more than 140 local and state-based education advocacy organizations and national partners in 33 states and D.C.

Responsibilities

Event planning & coordination:

  • Coordinate all logistics of PIE Network events, including setup, catering, lodging, AV, meeting materials, and other logistical details for Network events.
  • Travel to PIE Network-sponsored events (approx. 6 to 8 events/year) to provide onsite logistics support, including problem-solving, welcoming guests and speakers, directing event set-up, communicating with staff, and organizing vendors, and managing take-down.
  • Oversee event technology and systems, including registration, reservations, etc.
  • Monitor expenses to ensure that events stay on budget.
  • Seek ongoing ways to improve the coordination, technology, tools, and overall experience of Network virtual and in-person events.

Operations management:

  • Oversee bill payment, working with the VP of Finance & Operations to ensure bills are paid in a timely manner as indicated in individual contracts and overall budget.
  • Work with the VP of Finance & Operations to facilitate the completion of the organization’s annual audit.
  • Work with IT consultants to meet team technology needs, including buying, provisioning, and distribution of devices for the staff.
  • Act as general office manager overseeing the organization of files, databases, mail, and ordering supplies and other tasks as requested.
  • Manage special projects, data gathering, and analysis as assigned.

Ideal Qualifications

All candidates should have experience in non-profit or corporate events planning in addition to a familiarity with an operational discipline such as HR, Accounts Payable, Contracting, or Administrative functions. Demonstrable experience and other qualifications include:

  • At least 5 years of direct experience leading the planning, coordinating and hosting events for diverse professionals.
  • Judgment, wisdom, and discretion in managing relationships within a diverse network.
  • Commitment to the cross-ideological pursuit of solutions and creating inclusive, impactful, and interactive spaces for Network members to connect.
  • Pragmatic problem solver who can quickly troubleshoot and stay focused on crossing the finish line.
  • Responsiveness and adaptability to a network culture with changing priorities and political challenges.
  • A self-starter who is comfortable working on virtual platforms, given that the PIE Network works remotely and supports advocates across the country.
  • Previous experience with event platforms such as CVENT, Eventbrite, and Safe Access
  • Previous experience with Operations platforms such as Google Sheets, Bill.com, Expensify, QuickBooks, and Slack.
  • A project manager; successfully managing timelines, vendors, and competing deadlines in order to successfully deliver upon the goals of an event, task, or project.

Location: Virtual, US-based.
