Cristo Rey De La Salle East Bay High School is seeking a Donor Stewardship & Database Manager for its Roman Catholic, co-educational, secondary school to open in the fall of 2018 on the campus formerly home to Saint Elizabeth High School. The school is sponsored by the De La Salle Christian Brothers, District of San Francisco New Orleans.

The school will use the Corporate Work Study Program (CSWP) modeled after the successful programs at 32 Cristo Rey Network schools. All students are required to complete a college preparatory curriculum and participate in the Work Study Program. Under the Corporate Work Study Program, each student is employed one day per week by a local business or community agency to provide tuition assistance and complement the school’s on-site curricular program. The school is currently participating in the Replication Process of the Cristo Rey Network.

The Donor Stewardship and Database Manager plays an integral role on the Mission Advancement Team, is responsible for the management and coordination of the donor database (Salesforce), donor acknowledgements, fundraising report generation, and providing general administrative support to the Mission Advancement Director and the Mission Advancement Team.

Primary Responsibilities:

Database Management & Reporting

  • Manage Salesforce database and gift processing procedures, developing strategic protocol for data management and donor information.
  • Receive and enter all pledges, donations, and pledge payments, and uploading necessary documentation to donor records
  • Serve as an onsite resource to answer questions of staff who use the database and coordinating at least one training/Salesforce basics instruction session per year.
  • Assist with preparation of donor and mail lists for annual report, events, and as needed
  • Reconcile monthly and annually gift transactions with the Business Office
  • Develop, with the assistance of the Mission Advancement Director, monthly reports in order to track and monitor Key Performance Indicators (KPIs) in keeping with the Organization’s Strategic Plan
  • Serve as point of contact to pull reports, print documentation and support the Finance team to complete annual Audits

Donor Stewardship & Research

  • Assist with individual donor stewardship including acknowledgement letters, thank you cards, appreciation gifts, other communications via USPS, email and phone as directed
  • Ensure that all acknowledgement letters are completed within 72 hours of receipt of gift. Including, but not limited to: Individual Donations, In-Kind Donations, Foundations, Corporations, Memorial Gifts, In Honor of Gifts and Special Events
  • Respond effectively to individual donors’ inquiries through written correspondence, telephone contact, personal contact and email, assuring the donor that their needs are processed immediately upon request

Communications and Marketing

  • Coordinate all Mission Advancement mailings, including but not limited to, mail merges, printing letters and envelopes, scheduling, and facilitating mailings using volunteers or outside mailing vendors.
  • Manage Calendar Year End and Fiscal Year End mailings, holiday cards and letters, Board Member correspondence, Quarterly Newsletter, Annual Reports
  • Write and update acknowledgement letters at least four times per fiscal year for review and approval by Mission Advancement Director and CEO.

Event Coordination

  • Assist with preparation and execution of Mission Advancement and Corporate Work Study Program Events; including invitations, RSVP’s and follow-up communication


  • Assist Mission Advancement Director/CEO with scheduling stewardship and cultivation meetings and special, short-term administrative projects as assigned (i.e. capital campaign, preparing, printing and mailing grant applications, etc.)


  • Bachelor’s degree; communications, business, or related field preferred
  • Minimum of two (2) years of experience supporting the Mission Advancement/Development department for non-profit organizations, or experience with similar/transferrable functions and duties for three years
  • Minimum of two (2) years of hands on donor database experience or comparable database management experience (e.g., Salesforce).
  • Familiarity with basic accounting functions
  • Ability to function independently and in concert with other staff and volunteers
  • Excellent writing skills and interpersonal communication skills
  • Ability to be self-directed
  • Understanding of the communities we serve
  • Advanced skill level in Microsoft Office Suite
