Facing History and Ourselves is seeking a Digital Operations Coordinator to join our growing Digital team. The Digital Operations Coordinator is responsible for supporting operations, project management, and administrative functions on the Digital team. In addition, the Digital Operations Coordinator supports cross-functional digital projects, assists with managing daily operations activities, and supports the Chief Technology Officer and Technology teams.

We serve the entire organization and work on projects ranging from marketing landing pages to custom fundraising solutions to innovative products for educators.

Our team is responsible for the stability and availability of all of our digital platforms (including the management of our partners and vendors) to ensure the best digital experiences. We govern all processes and procedures which deliver change to those platforms to minimize incidents, minimizing operational risk while operating efficiently and responsively.

The Digital team is busy and our work is cross-functional, serving critical mission-driven needs. Our team prides itself on deeply understanding and caring about our users and our mission-driven educational impact and not losing sight of either when we build and maintain technology solutions. Our main site uses Drupal; we also use a wide range of tools for reporting and marketing and support our user-facing digital products, community events, and online courses.

Who You Are: You are a thoughtful, highly organized, mission-driven individual who can manage logistics and assist in prioritizing issues, managing projects, and performing special assignments alongside Facing History’s Technology team. You’ll help ensure that designated budgets are properly managed, tracked, and documented and that communications are coordinated efficiently. In addition, you are a skilled organizer who can provide the management and administrative systems needed to support an operations-heavy organization.

Specific Responsibilities Include:

Chief Technology Officer (CTO) Support (30%)

  • Provides high-level administrative support for the CTO, including note-taking, editing correspondence, maintaining calendars, assisting with setting agenda items for team meetings, timecard approvals, and handling day-to-day concerns.
  • Work with the CTO and Finance Department on budgets, including tracking expenses and commitments related to projects, running project reports, and assisting in creating future project budgets for the Technology team.
  • Oversee the CTO’s calendar and coordinate meetings for the CTO and others on their team.
  • Support the use and organization of the Technology Team’s internal resources and Google Drive.

Operations and Project Management (70%)

  • Support project planning for multiple concurrent projects; ensure projects run as planned, adjust project scope as needed, manage risks, identify obstacles to project completion, and communicate proactively with stakeholders.
  • Support project scope and work breakdown structures, critical path and baseline structures, project communication, reconciliation and forecasting, risk analysis and mitigation, quality assurance, and closure processes.
  • Help maintain all team documentation, including meeting decks, JIRA tickets, Confluence spaces, Slack channels, and other communication.
  • Support the development of team resourcing tools (e.g., spreadsheets and calculators) to collaborate with managers and effectively support resource planning and decisions. Track and approve expenses, prepare monthly financial reports, make sure they adhere to the overall project and master budgets.
  • Troubleshoot technical issues with colleagues and end-users; provide technical support for content delivery via virtual events.
  • Serve as a live chat agent and customer support agent for visitors to our website.
  • Provide administrative, technical, content management, and moderation support for online community spaces. Use Slack to collaborate within and across teams and as an intake mechanism for projects, tasks, and support requests.

  • Excellent computer skills, including experience with Microsoft Office, Word, and Excel

  • Strong ability to work with C-suite staff, including effectively “managing up” to meet deadlines and move projects forward
  • Ability to understand organizational goals and translate goals into operational plans

Knowledge: Education, Experience, & Skills

  • BA/BS or equivalent work experience preferred; nonprofit or educational experience preferred
  • Ability to work independently, prioritize, and problem solve; ability to manage multiple assignments in a busy, fluid setting
  • Excellent written and oral communication skills as well as organizational skills
  • Excellent computer skills, including experience with Google Suite, Microsoft Office, and Salesforce preferred.
