The Coordinator, Events Planning, Programming & Production position is a critical member of our Events Operations and Experience team. In this role you will be responsible for assisting with various projects and tasks across the event department as well as supporting the success and impact at a variety of live events. This position supports the events leadership team in a variety of ways including program and logistical support of content, production and onsite coordination of event tasks, as well as supporting cross-departmental goals and objectives. This position may also provide additional support to the Events Teams, including researching new event products and features.
WHAT YOU WILL DO:
ESSENTIAL RESPONSIBILITIES:
- Works closely with leaders of program, logistics, and activations to coordinate event details, including but not limited to researching speakers and entertainment, assisting with contracts scheduling and sharing new event ideas, improvements or initiatives that would benefit the attendee experience.
- Provides support by coordinating and maintaining various project timelines as well as assisting in data collection from event databases, reports, surveys, and demonstrating findings through information slides and graphics to internal stakeholders.
- Works across departments to set up and organize the event management system and mobile application for each event.
- Acts as a point of contact with other departments to ensure event deliverables are completed within established production schedule and timelines.
- Provides support for financial management and may include, tracking spend against budget and reconciling and processing vendor invoices for department leadership.
WHAT MATTERS TO US:
- Four (4) year college degree, Bachelor's degree in communications, management, business, marketing, or related field.
- Minimum one to two (2-3) years of relevant and relatable work, project management or event coordination experience is necessary.
- Experience in the edtech industry, non-profit industry and/or with event planning experience is desirable.
- An equivalent combination of education and experience may also be acceptable.
- Strong interpersonal and relationship building skills.
- Ability to thrive in high pressure situations.
- Comfortable working in an evolving/changing environment, both independently and as part of a team.
- High level of proficiency in current office practices and technologies/applications.
- Ability to independently prioritize workload according to the time-sensitivity of tasks assigned.
- Ability to solve problems creatively, make independent decisions and to know when seeking management approval is appropriate.
- Ability to represent the conference and organization professionally inside and outside of the office; strong written and oral communication skills.
- Experience with various graphic and presentation tools a plus (Powerpoint, lnDesign, etc.).
