Business Operations Manager (BizOps) - AVELA - Equitable School Admissions

Avela - Multiple Locations or Remote - Full time

Partner with Founders and Leadership Team to grow Avela, doing whatever it takes to build the business. You’ll support the CEO with a variety of tasks, including special projects, operations, finance, HR/recruiting, and business development. 

 This role can go by many names, including Business Operations Associate/Manager, BizOps, People Ops, and Chief of Staff. It is NOT an Executive Assistant role. We're looking for early career professionals on a rapid trajectory looking for a 2-3 year “tour of duty” to accelerate your career, after which you can find a leadership role at Avela (e.g. COO), start your own company, go to business school, and more.

Role Description and Components

  • Special Projects 30% – Initiative and special projects, test hypotheses, develop repeatable processes, and hire functional leaders to manage projects on an ongoing basis
  • CEO Support 25% – Support the CEO with a wide variety of tasks, including administrative/secretarial tasks, marketing and business development, fundraising, investor relations, and more.
  • Business Operations 20% – Manage finance, business operations, and legal responsibilities, including our third-party contractors (e.g. Pilot for bookkeeping/finance, Gusto for HR/benefits, Acceleron for legal, etc).
  • People Operations 15% - Handle HR-related issues, including payroll, team culture, compliance, and more. You'll also help with recruiting, including reviewing inbound resumes, scheduling interviews, sending outbound messages, and conducting first phone screens.
  • Business Development 10% - Currently our sales/marketing team has the most open headcount, so you’d pitch in. Tasks include RFP responses, lead generation, content creation, etc.

Example Tasks

  • Special Projects - 1-3 month sprints focused on solving high priority problems and putting systems in place.
  • Financial Modeling - Build a business model for Avela and use it to support budgeting, resource allocation, and fundraising.
  • HR and New Hire State Registration - Ensure paperwork is filed in new states so that payroll can be paid and that unemployment insurance and workers compensation plans meet requirements.
  • Accounts Payable - Ensure contractors, vendors, and other service providers are paid in a timely (net 30) basis.
  • Accounts Receivable - Generate invoices for customers, follow up on payments from customers, and ensure prompt payment.
  • Team Events - Organize quarterly team offsites and retreats, and coordinate other team-related events. Facilitate birthday and anniversary celebrations.
  • Swag - Order gifts for the team and marketing swag for customers and prospects, such as t-shirts, pens, notepads, and more.
  • Recruiting - Support recruiting efforts, including prospecting, resume review, interview coordination, and new hire outreach.
  • Administrative Assistance - You’ll certainly do some scheduling and other EA-type work.
  • Marketing Research - Help the business development team build lists of potential customers, research prospects, and generate data for outbound campaigns.
  • OKRs - Implement OKR system across teams and set up tracking mechanism and dashboards.
  • Investor Relations - Help with monthly investor updates and field questions from investors about the state of the business.
  • Fundraising - Support with the Series A financing in 2024 (we just raised a seed round in 2022), which could include building the pitch deck, organizing the data room, doing investor outreach, and supporting follow-up.
  • Anything Unassigned - As a small, 17-person company, most jobs don’t have an “owner.” You’ll be the default lead for anything that doesn’t fall within another team’s purview (product, engineering, sales, marketing, professional services, or customer success). Open functions include operations, finance, HR, recruiting, investor relations, etc.

Criteria

  • Ideal candidate has 2-6 years of work experience in high pressure roles, such as management consulting, investment banking, corporate law, etc. At least 2 years of full time experience must be in the US.
  • Strong preference for alumni from top-tier professional services firms, including McKinsey, Bain, BCG, Goldman, Morgan Stanley, Cravath, etc.
  • This is intended to be a 2-3 year ““tour of duty” to accelerate your career. After 2-3 years, high performing candidates are likely to either: (1) Manage a function and join the leadership team at Avela, (2) Attend graduate school, such as an MBA and Harvard or Stanford (CEO is an alumni of both and can write letter of recommendation), (3) Start a company (CEO can advise)
