Administrative Project Coordinator

Job Overview:

Motivated, energetic, and personable APC to support efforts of the Strategic Marketing Department. Reporting to the VP of Strategic Marketing, you will be responsible for supporting communication, coordinating projects, and conducting day-to-day administrative type tasks across a large remote team.

Location: Remote, USA

Job Responsibilities:

  • Coordinate inter-departmental and cross-departmental communications such as newsletters, operation notes, monthly update, etc.
  • Perform various day-to-day administrative tasks such as organizing calendars, arranging meetings, creating meeting agendas, documenting meeting notes, assisting with travel arrangements, preparing correspondence and other similar administrative type tasks.
  • Helping prepare for meetings by researching and organizing information and preparing documents for review and presentation.
  • Manage projects, including updating plans, distributing and monitoring deliverables and communicating with stakeholders throughout the project.
  • Identify and recommend work flow processes and procedures to support stronger collaboration and communication across the CS business unit.
  • Opening, sorting and distributing incoming departmental emails, and other correspondence.
  • Performing minor accounting duties, such as updating budget spreadsheets, processing and rescoring invoices.
  • Coordinating events as necessary.
  • Formatting of Presentations.
  • Performing other assigned tasks using independent judgment, discretion, and business acumen.

Job Requirements:

  • Bachelor’s degree required
  • 3-5 years experience as an admin assistant, project manager, or equivalent work experience required.
  • Must have great analytical, interpersonal, and communication skills.
  • Quick learner with ability to grasp business processes.
  • Highly adept with technology and quick to learn new technologies.
  • Ability to understand priorities and work independently.
  • Microsoft Office Suite proficiency and ease of use required.
  • Highly organized and detail-oriented.
  • Ability to prioritize projects and strong problem-solving skills.
  • Ability to manage multiple projects, timelines, and multiple stakeholder’s needs.
  • Flexibility to adapt to deadlines, changing schedules, priorities, and unpredictable events within a very fast-paced environment.
  • Maturity, discretion, sense of humor, and good judgment required.
  • Ability to travel to Concord, MA and other locations as needed.
